You can optionally connect more than one calendar to take appointments. If you've never done this before, check out how to set up appointments generally.

To use this feature, simply toggle Connect multiple calendars on.

With this feature enabled, you'll see a couple more options in your appointment question's configuration:

  • Calendars to check availability on
  • Calendars to make bookings

If you select more than one calendar to check availability on, a new option will appear:

  • Appointment must be available on

Setup

Let's look at each option in turn to figure out how we can use them.

Calendars to check availability on

Here, you'll set the connected calendars you'd like to check to see when someone might be able to make an appointment, otherwise known as availability.

If you do not select a calendar, the availability will only be checked according to the question's manual availability configuration set in the Availability tab.

You don't have to use the same calendar(s) for checking availability as you do for booking appointments.

Appointment must be available on

You can enforce which calendars the appointment must be available on. Your options are:

  • All calendars
  • One or more calendars

As one might expect, this means you can make sure the appointment is available on every calendar selected for Calendars to check availability on or at least one of them.

Calendars to make bookings on

This is much like the first option, except we're setting which calendar(s) we'd like to actually book the appointment on.

Similar to what was indicated in its sister section, you don't have to use the same calendar(s) here as you did when you wanted to check availability.

You can, for example, check your availability on your main calendar that tracks all your appointments throughout the week and then book appointments for leads on a separate calendar so you can easily see just appointments related to your leads at a glance.

How are appointments booked with 0, 1, or 2+ calendar(s) selected?

  • 0 calendars: No appointment will be set to any calendar
  • 1 calendar: All appointments will be to set on that calendar
  • 2+ calendars: Appointments will set at random to calendars with the required availability

Use-Cases

1. Book a meeting with my partner and me and we both must be available

Calendars to check availability on: Both calendars
Appointment must be available on: All calendars
Calendars to make booking on: Select one calendar only

Finally, add the other person's email to the Invite emails list in the Event Details tab so the other person receives a calendar invite for the appointment.

2. Book a call with anyone on my team as long as one person is available

Calendars to check available on: Calendars of each team member
Appointment must be available on: One or more calendars
Calendars to make bookings on: Calendars of each team member
